Where med spa bookings get lost

Most med spas don't have a lead problem. They pay for ads, get inquiries through the website and social media, and have a list of past patients who already trust them. The bookings slip away in the gap between an inquiry and a confirmed appointment.

The front desk is busy checking patients in, answering questions, and taking payments. Calling back a form fill from this morning moves to "later," and later becomes tomorrow. By then the prospective patient has booked a consult somewhere else.

The leaks are usually the same few:

  • &Slow follow-up. A consult inquiry is warmest in the first hour. Leads called back the next day are much harder to book.
  • &Calls nobody answers. Inquiries that come in during treatments, lunch, or after closing go to voicemail and often never get a call back.
  • &No-shows and late cancellations. Without a reminder and a confirmation call, an empty chair costs a provider's time.
  • &Lapsed patients. Many treatments are repeat services: neurotoxins every few months, filler touch-ups, laser and facial series. Patients who drift past their usual interval are easy to win back, but only if someone calls.
  • &Unworked old leads. People who asked about pricing months ago and never booked are still sitting in your CRM.

What an outsourced appointment setting team handles

An outsourced team doesn't replace your front desk. It takes over the outbound calling your staff never has time for, so they can focus on the patients in front of them.

New inquiry follow-up

Every web form, ad lead, and missed inquiry gets a fast call. The agent answers basic questions about the treatment, checks the patient fits your criteria, and books a consult in your calendar.

Consult and treatment booking

Agents work from your real availability and your rules: which providers do which treatments, how long each slot is, and whether a deposit is required.

Reminders and confirmations

A reminder call the day before, and a quick reschedule when someone can't make it, keep the chair filled instead of empty.

Patient reactivation

Past patients who are due for their next treatment get a friendly call, often tied to a current offer, a membership, or a package.

Old lead reactivation

Inquiries that went cold get a second look. Some will have booked elsewhere, but many simply never heard back.

What the team should never do

Appointment setters book and confirm. They don't give medical advice, recommend treatments, or promise results. Clinical questions go to your providers, and a good script makes that handoff smooth.

What to ask before you hire a calling partner

Whoever calls your patients is speaking for your clinic. Before you sign, get clear answers to these questions:

  • &What hours will they call? Calls should go out during your patients' day, including late afternoons and early evenings when people are easier to reach.
  • &Who writes the script? You should approve every script and offer before launch, and be able to change them at any time.
  • &How do they handle compliance? Ask how they respect calling-hour rules, honor do-not-call requests, and confirm you have consent to contact the people on your list.
  • &How will patient data be protected? If your data includes health information, discuss privacy terms up front, including whether a Business Associate Agreement is needed.
  • &Can you hear the calls? Recorded calls and daily reporting mean you never have to take anyone's word for the results.
  • &How do appointments reach your team? Bookings should land directly in your scheduling system or calendar, with notes on what the patient asked about.

How we run med spa campaigns at Walker & Creed

We set up a dedicated calling team for each clinic, drawn from our network of more than 20 call centers in Egypt. Shifts are scheduled so calls go out during your local business hours, anywhere in the US or Canada.

  • &Discovery call. We learn your treatments, pricing, providers, and what a good booking looks like for you.
  • &Script and rules. We write the script with you and agree on the qualification rules and privacy terms before anyone dials.
  • &Training. Agents are trained on your treatments and your tone until they sound like part of your team.
  • &Pilot. We start small, on one lead source or one patient list, so you can see the results first.
  • &Daily reporting. You get calls, conversations, and bookings every day, with recordings, and we grow the team only when the numbers justify it.

We also run campaigns for plastic surgery practices and wellness and hormone clinics. For our other health care campaigns, including SSDI, insurance plans, and medical equipment, see our health care calling services.

Common questions from clinic owners

Straight answers before we get on a call.

Do your agents give medical advice?

No. Agents book, confirm, and reschedule appointments and answer basic questions from your approved script. Clinical questions are passed to your providers.

What hours do you call patients?

Our shifts are set to your local business day, so calls go out when your patients are most likely to answer, including late afternoons and early evenings.

Can you book directly into our scheduling system?

Yes, where your system allows it. Otherwise we send bookings to your team in the format you prefer, with notes on each patient.

How quickly can we start?

After a discovery call, we build the script and rules with you, train the team, and start with a small pilot before scaling up.
